GUEST RESPONSIBILITY

The guest is entirely responsible for unforeseen events or losses that may occur prior to your holiday, during your journey here or any events that occur while doing your holiday activities.

We strongly recommend that you purchase travel insurance to cover you in case of mishap. Under no circumstances will Kooloora Lodge nor anyone acting on its behalf be held liable for adverse events beyond our control.

ACCEPTANCE OF TERMS

Payment of a deposit and/or other fees constitute acceptance of these terms. This applies equally to all persons included in the reservation who will be staying or using the lodge facilities.

Lift passes, ski tube and ski hire are not included in your room charge but can be purchased online at www.perisher.com.au

DEPOSIT AND BALANCE PAYMENT

We will process the deposit of 30% of the accommodation charge at the time of booking and a confirmation will be emailed to you. It is the responsibility of the guest to ensure all applicable discount codes and deals have been applied. Once a booking is confirmed, no subsequent discounts will be applied.

For all winter bookings made prior to June the balance is payable on 1st June. For all other winter bookings the balance is due 30 days prior to arrival. Failure to pay balance by the due date will result in cancellation. For all bookings less than 30 days prior to arrival the full accommodation charge will be made at the time of booking.

BOOKINGS MADE THROUGH A THIRD PARTY

Check your booking and cancellation policy with your booking agent/platform for non-direct bookings. Approach them for any requests relating to cancellation or booking modifications.

CANCELLATION AND REFUNDS POLICY

Booking cancellations in the first 24hr are eligible for a full refund provided no cost is incurred by Kooloora Lodge. After that the 30% deposit is non refundable. The balance paid 30 days prior to arrival or on 1st June is non refundable. Where the arrival date is less than 30 days from the booking date, the full accommodation charge is non refundable.

RESERVATION AMENDMENTS

Amendments to reservations can be requested up to 30 days prior to arrival. Acceptance of all amendments are at the discretion of Kooloora Lodge and will also depend on room availability. Amendments do not change the deposit or balance payment terms and dates unless the booking is moved to an earlier date in which case this earlier date will be used. Amendments once confirmed will attract an $80 fee per room. Additional charges will be made if the resultant tariff increases. Refunds or credits will not be given for amendments that result in a reduced tariff. Changes to arrival date may not exceed 6 calendar months from the original reservation date.

Amendments to reservations less than 30 days prior to arrival can also be requested. We understand that personal circumstances can make last minute amendments necessary. Whether we can accommodate these changes will depend on room availability and lodge operations. They are not guaranteed and there will be no changes allowed within 1 week of arrival. In addition to the above conditions a minimum fee of 15% of the booking and any costs incurred will be charged in addition to current booking charges.

EARLY DEPARTURE OR LATE ARRIVAL

Kooloora Lodge will not have any obligation to refund any amount of money which has been paid in the event of late arrival or early departure.

THIRD PARTY PAYMENT POLICY

If any room nights or additional charges are to be paid for by a third party, or anyone else other than the person who’s name the booking was made under, the lodge must be notified more than 48 hours prior to 2:30pm on your arrival date. An email address must be provided with the notification, so that a credit card authority to charge form can be sent to the third party liable for any charges. The completed authority to charge form accompanied by any attachments required pursuant to the form must be returned to the lodge by email or fax at least 24 hours prior to 2pm on your arrival date. If the guest fails to comply with any of these requirements, we reserve the right to charge the original credit card provided for the booking. If payment cannot be taken from the original card provided, we reserve the right to deny check-in and keep any deposit or moneys already paid, as well as charge the total amount of the booking.

CHECK-IN POLICY

Contactless check-in must be completed prior to arrival. Room keys will not be issued until check-in is complete. It is the guest’s responsibility to ensure this is done.

Check-in time is no earlier than 3:30pm unless you have booked early check in. Arriving at the lodge before 3:30pm without prior arrangement will result in additional $100 cost per room. The person who’s name the room was booked under must be present and part of the travelling party staying at the lodge. A valid credit card or debit card and identification in the same name that the room was booked under will be required on arrival to complete the check-in process. If guests fail to comply with the check-in requirements, we reserve the right to deny check-in and keep any deposit or moneys already paid, as well as charge the total amount of the booking.

Guests are not to use Kooloora Lodge facilities including the dining and lounge areas once they have checked out otherwise a further charge will be incurred.

AFTER HOURS ARRIVALS

Reception hours are from 3.30pm to 5:30pm daily. If you are arriving outside of these hours, please contact the lodge at least 24 hours prior to 2:30pm on your arrival day to arrange an after-hours key collection. We reserve the right to keep any deposit or moneys paid, as well as charge the total amount of the booking if you fail to check in during the period of your booking.

ROOM OCCUPANCY, REQUESTS AND ASSIGNMENT

Maximum occupancy limits per room must be strictly adhered to. Failure to do so could result in cancellation of your booking with no refund.

Rooms are assigned by the booking system and at the discretion of Kooloora Lodge. Room requests can be made. We do not guarantee adjacent rooms but will make reasonable efforts to accommodate such requests. We reserve the right to change room type or configuration as is required by daily operations of the Lodge.

Alternative room configuration must be emailed at least 24 hours prior to arrival to [email protected]. If rooms need to be reconfigured after your arrival there will be a charge of $50 per room.

DAMAGES, LINEN AND CLEANING FEES

The person booking the room is responsible for the room and any visitors that enter the room for the duration of the booking. The person booking must be present for the entire duration of the booking and is liable for any damages caused to the room or extra cleaning fees required.

Linen such as bedding and towels for each guest is set in the room prior to check-in and is included in the price. No additional towels will be provided during your stay however there is a complementary washer and dryer in the ski room for guest to use should they wish.

FOOD AND DRINKS.

Breakfast, afternoon tea and dinner are included in our rates. Tea and coffee are available any time in the restaurant. Alcohol and soft drinks are not included in the booking rate, and can be purchased during your stay.

Kooloora Lodge is a fully licensed hotel and restaurant. There is no BYO food or alcohol permitted at the lodge without the acknowledgement of management. With management approval it is possible to BYO wine and beer. Corkage is charged at $15 per bottle wine or 6 pack of beer

Kooloora Lodge practices the Responsible Service of Alcohol at all times. We are required by NSW law to ensure no intoxicated persons are on the premises. If it appears a guest is becoming intoxicated we will require them to either go to their room until they are sober or to remove themselves completely from the building. Intoxicated persons will be required to remove themselves from the building immediately.

Meals are served at specific advertised times. If you are not here at that time you miss out. We cannot put food aside due to health regulations on food storage.

In the case that any in-house purchases (including food and drink) are not paid by check out, your supplied credit card will be automatically charged the amount due.

The restaurant and bar may be closed outside the ski season.

Dietary requirements such as allergies and intolerances are to be notified no later than one week prior to arrival via email to [email protected]. Late notification or same-day requests cannot be catered due to our remote location.

Dinner service is not available for guests arriving after 7:30pm

GUEST CONDUCT

The guests are responsible for ensuring that they conduct themselves in an orderly manner. Management reserves the right to intervene if it deems that a guest’s activities are considered illegal, noisy or offensive, to separate or remove any and all persons from the premises without liability if they consider such action is necessary. Guests removed from the premises forfeit the full amount payable for the booking.

GUEST PROPERTY

Kooloora Lodge accepts no responsibility for damage or loss of any guest property left in the lodge, on the premises or in any vehicle operated by us prior to, during or after a stay.

FIRE ALARMS

Strictly no smoking.

A guest causing a fire alarm will be liable for any charges or penalties given to Kooloora Lodge. Currently the false alarm fee is $1900.00.

If rooms need additional cleaning as a result of unauthorised smoking a charge of $50 will be made to the booking guests credit card.

PARKING

We recommend you use overnight parking at Bullocks Flat and catch the Skitube to Perisher station in winter as there is no overnight parking in the Perisher Valley car park.

COURTESY OVERSNOW PICKUP

Oversnow transfers from Perisher Station on arrival days are included for arrivals between 3:30pm and 10pm unless you have booked the early check in package where it is included for arrivals from 9:30am on arrival day.

Oversnow transfers to Perisher Station on departure days are included for departures between 7am and 9:30am unless you have booked the late check out package where it is included for departures up to 3:30pm on departure day.

Any guest arriving or departing outside these hours will need to organise their own transfers at their own cost.

The courtesy over snow pickup is provided solely for the convenience of our guests who may not want to walk 600 metres to or from the lifts.

The morning skier pick up is 8.45am from Kooloora Lodge to Perisher Valley is included in your room charge. Skiers must be waiting out the front of Kooloora Lodge prior to 8.45am as there is only one service.

The afternoon skier drop off from Perisher to Kooloora Lodge between 3:30pm and 4:30pm are included in your room charge but is not included for your arrival day or departure day as we already cover your arrival and departure shuttles.

It runs to a daily schedule by 4Site Pty Ltd. They make every reasonable effort to ensure this service is available. However if it is full or delayed you will have to wait for a later service. Kooloora Lodge is not liable for its availability or otherwise. If you choose to use the pickup outside the daily schedule it is at your own cost.

COMPLIANCE OF POLICIES

We reserve the right to cancel or modify bookings where it appears the reservation contains mistakes or appears to be an effort to circumvent the lodge policies, terms and conditions.

Kooloora Lodge is licensed for a specified number of persons per night. Additional persons will constitute a breach of the occupancy arrangements with the National Park and will incur additional charges per person at the hotel’s full rate.

Should the terms and conditions be breached, Kooloora Lodge reserves the right to immediately terminate the occupancy or cancel the reservation. The guest and any other occupant shall immediately vacate the room. Kooloora Lodge shall not have any obligation whatsoever to refund any amount of money which has been paid.
